How to fill in the card

Type times however you normally would. 9, 9:00, 9am, 0900 and 09:00 all mean the same thing, and a shift that ends earlier than it starts is read as running past midnight — in at 10 PM and out at 6 AM is eight hours, not minus sixteen.

Put unpaid breaks in the break column in minutes. A thirty-minute lunch is 30. Paid breaks should be left out entirely, because they stay on the clock.

Leave a day blank if nobody worked it. Blank rows are skipped rather than counted as a shift from midnight to midnight.

Hours and minutes, or decimal hours?

Payroll systems almost always want decimal hours: 7 hours 45 minutes is 7.75, not 7.45. Getting that wrong is the single most common timesheet error, and it costs an employee eighteen minutes of pay every time it happens on a shift like that one.

The calculator shows both. Use hours and minutes to sanity-check the card against what people actually worked, and the decimal figure when typing into payroll software.

Rounding punches

Many employers round each punch to the nearest 5, 6, 10 or 15 minutes. The Fair Labor Standards Act permits it, but only where the rounding is neutral — it may not systematically shave time off the people being paid.

The rounding here rounds up and down evenly, so it cancels out over a full cycle rather than drifting in the employer’s favour. If your policy always rounds down, that is a policy question worth checking rather than an arithmetic one.

The conversion payroll systems expect. Divide by 60 — do not simply move the decimal point.

Common questions

How do I add up hours on a time card?

Work out each day separately: subtract the clock-in time from the clock-out time, then take off any unpaid break. Add the daily totals together for the week, then convert to decimal hours for payroll — 7 hours 45 minutes is 7.75 hours.

Does the calculator handle overnight shifts?

Yes. If the clock-out time is earlier than the clock-in time the shift is treated as crossing midnight, so 10:00 PM to 6:00 AM is counted as eight hours.

Do I subtract lunch from a time card?

Subtract it if the break is unpaid, which is usual for a meal break of thirty minutes or more. Paid rest breaks stay on the clock and should not be deducted.

Is my timesheet data sent anywhere?

No. The calculator runs entirely in your browser. Nothing you type is transmitted to us or stored, and closing the tab discards it.
